Form Itegration

Role: UX / UI Design
Company: NY Phil
Dates: Apr 2025 - Jun 2025

Special event forms serve as a critical touchpoint in the orchestra’s overall UX strategy and digital presence. I assisted the migration of NY Phil’s special event forms from a third-party platform (Wufoo) to the internally hosted CMS (Blocks Office).

Objective

Evaluate existing fundraising workflows to design event forms that prioritize usability, improving clarity and efficiency for internal teams while delivering a seamless, user-friendly experience for donors.

Scope

Gala and benefit event RSVPs, donation checkout funnels, internal data collection

Strategy

  • Streamline Internal Workflows

    • Migrate forms into the BlocksOffice CMS with reusable components and templates to reduce manual setup

    • Simplify backend processes for the Special Events, Donor Services, and Digital teams

  • Integrate with Tessitura & NY Phil Cart

    • Embed event transactions directly into the Tessitura-integrated checkout, eliminating Stripe/Wufoo workarounds

    • Ensure RSVPs, tickets, and donations flow into the same cart as subscriptions and single tickets, creating a unified donor experience

  • Enhance Donor Usability

    • Reduce form friction with grouped fields, mobile-first layouts, and progress indicators where needed

    • Match the design language of the main site to build trust and provide visual continuity

"I think there’s no consistent process or structure because we've never been given parameters really."

Special Events Team

Process

Identify Workflow Pain Points & Opportunities

Special Events team sends Digital team PDF to reference for building  Wufoo form

Pain Points

  1. Static content disconnected from web

  2. Changes require full redistribution and leads to poor version control

Digital Team recreates PDF content in Wufoo form

Pain Points

  1. Limited Wufoo styling breaks NY Phil brand consistency

  2. Manually builds pricing logic; time consuming and increases risk of formatting errors

Wufoo form is tested by both Digital and Special Events

Pain Points

  1. Code clean up usually required for HTML tags in subject lines or form titles

  2. Permission must be granted for each form built in Wufoo

  3. Email set up tedious

Form linked across Digital channels

Pain Point

  1. Digital must build unique redirects to the Wufoo for email and print mailers

Data collection in Wufoo

Pain Points

  1. Donor and payment data lives outside Tessitura, so users must re-enter their information every time they fill out a Wufoo

  2. Multiple teams must log into Wufoo to access or reconcile data

  3. Extra steps required to import/export into NY Phil systems

Design Opportunity

  1. Build flexible templates that allow tier, image, and description updates within a locked framework

  2. Automate pricing tiers using Tessitura integration to reduce backend complexity and human error

Design Opportunity

  1. Implement CMS input fields with built-in formatting rules

  2. Standardize post-submission email templates within the CMS

Design Opportunity

  1.  Another advantage to eliminating a third party, native URLs look more polished and reduce friction for users, building trust.

Design Opportunity

  1. Centralize form data within Tessitura, eliminating the need for separate logins and helping to avoid data silos

  2. Donors can log into their account and autofill information using existing account details—streamlining checkout and reducing friction
